Privacy Policy
This policy explains what personal data this site collects, why we collect it, who we share it with, how long we keep it, and the rights you have over it.
Who we are
This site is operated by Ronan Kennedy Coaching Limited (registered in Ireland, company number 758205), trading as Ronan Kennedy Executive Career Coaching. We are the data controller for the personal data described in this policy.
You can contact us about anything in this policy at info@ronankennedy.ie.
This policy is written to meet UK GDPR and the Data Protection Act 2018, which apply because we offer services to people in the United Kingdom.
What we collect and why
We only collect what we need, and only for the purposes set out below.
- Enquiries through the contact form — Your name, email address and the message you write. We use this to reply to you and, if relevant, to discuss working together. Lawful basis: legitimate interests — responding to someone who has contacted us.
- Bookings — When you book a call, Calendly collects your name, email address and any answers you give on the booking form, along with the time you choose. We use this to hold and prepare for the call. Lawful basis: taking steps at your request before entering into a contract.
- Coaching clients — If you become a client, we hold your contact details, engagement records and notes made during our work together. Lawful basis: performance of our contract with you.
- Website analytics — If you consent to analytics cookies, we collect information about how the site is used — pages viewed, how you arrived, approximate location and device type. Lawful basis: your consent.
- Advertising measurement — If you consent to marketing cookies, we record when a visit from a Google Ads click leads to a booking. Lawful basis: your consent.
Who we share it with
We do not sell your data. We use a small number of service providers who process it on our behalf:
- Attio — Customer relationship management. Enquiry and client contact details are stored here.
- Supabase — Database hosting for contact form submissions.
- Calendly — Booking calendar and scheduling.
- Zapier — Automation that passes booking details from Calendly into our CRM.
- Google (Analytics and Ads) — Website analytics and advertising measurement, only where you have consented.
- Lovable — Website hosting.
We may also share data where we are legally required to — for example with tax authorities, regulators or professional advisers.
International transfers
Some of these providers are based outside the UK, including in the United States, and we are based in Portugal. Where data leaves the UK we rely on the safeguards those providers have in place, such as the UK Addendum to the EU Standard Contractual Clauses or the UK extension to the EU–US Data Privacy Framework. You can ask us for more detail at any time.
How long we keep it
- Enquiries that don't become clients — 24 months from your last contact with us, then deleted.
- Client records — For the duration of our work together and 24 months afterwards.
- Financial and invoicing records — Seven years, to meet tax and accounting obligations.
- Analytics data — Retained by Google in line with the retention period set on our account, currently 14 months.
- Your cookie choice — Six months, after which you will be asked again.
Your rights
Under UK GDPR you have the right to:
- Ask for a copy of the personal data we hold about you
- Ask us to correct anything inaccurate
- Ask us to delete your data, where there is no ongoing reason to keep it
- Ask us to restrict or object to how we use it
- Ask us to transfer your data to another provider
- Withdraw your consent at any time, where consent is the basis we rely on
To exercise any of these, email info@ronankennedy.ie. We will respond within one month. Withdrawing consent does not affect anything done before you withdrew it.
Cookies
Cookies and similar technologies are covered separately in our Cookie Policy, which also lets you change your choices at any time.
AI-assisted processing
We may use artificial intelligence tools, including Claude by Anthropic, for administrative and content-related purposes such as drafting communications and preparing materials. No decision about your coaching programme, your suitability, or anything else affecting you is made solely by automated means. Where these tools process personal data, they do so under our instruction and oversight.
Security
We take reasonable steps to protect your personal data, and we choose service providers who do the same. No method of transmitting or storing data is completely secure, so we cannot guarantee absolute security, but we will tell you and the ICO without undue delay if a breach occurs that puts your rights at risk.
Children
This site is aimed at working professionals and is not directed at anyone under 16. We do not knowingly collect personal data from children. If you believe a child has given us their data, email info@ronankennedy.ie and we will delete it.
Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority, at ico.org.uk or on 0303 123 1113.
Links to other sites
This site links to other websites we don't control. If you follow a link, that site's own privacy policy applies, not ours.
If the business changes hands
If the business is sold, merged or restructured, personal data may transfer to the new owner. We will tell you before that happens and before any different privacy policy applies to you.
Changes to this policy
We update this policy when our practices change. This version was last updated on 18 August 2026.
